I received a claim where the child was living with a Foster Carer but the address was different to that on the system. Instead of continuing registering the claim, I decided to confirm the new details with the Foster family, so that a delay would not be had further on down the line. I called the Foster Carer and stated who I worked for; I also asked some security questions just to confirm I was speaking to the correct person. Once the security questions had been correctly answered I asked the customer toCollaborating and Partnering:-
Due to the centralization of the AA team, I had to relinquish some of my AA duties, one of these duties being sorting post and hand it over to the AO’s. When preparing to hand over these duties I discovered that there was no structure to the post sorting process for the AO’s. When it was my duty to sort post I would gather all the post and separate them in to two piles, one for Maintenance and one for New Claims. This made it more straightforward for me when it came to distributing the post to the relevant teams and pigeon holes and I spent less time walking up and down the office handing out post. I brought this to the attention of my Team Leader and the AO’s as a new process to sort post. By doing this, the AA processing teams would be able to concentrate more on their own work and their targets. This also eliminated the need to sift through the post more than once when distributing it and it also allowed for swiftness when distributing the post as it would have been sifted through more thoroughly.
This resulted in a more structured way of sorting post that balanced the efficiency of handing out the post once sorted, was more practical and enabled the AA teams to focus on registering claim and reaching set targets.
